The financial challenges that businesses face can be difficult to overcome without the right person at the helm. A fractional CFO or similarly-qualified financial consultant may deliver the results and value to help your organization succeed. Maybe a full-time financial leader does not make sense for your business or you need support while searching for the right individual. In any case, a fractional CFO or similarly qualified financial consultant may deliver the results and value required to help your organization succeed in a fiscally-healthy, responsible, and sustainable way.

What a Fractional CFO Does for Your Business

While a highly organized person may be able to step into an operational leadership position or a persistent and detail-oriented person can excel in marketing and sales, financial leadership is a unique and exceptional skillset.

Optimizing cash flow, maximizing growth and profitability, and ensuring the financial stability of an organization are just some of the essential services a fractional CFO can provide. However, a full-time CFO can be tough to justify in terms of cost or it may be difficult to find the right individual to not only make the best financial decisions for your company but also has deep knowledge of and experience in your particular industry.

Whatever the reason a full-time CFO may not make sense for you at this point in time, Encompass has consultants to provide the experience and expertise you need at a fraction of the cost of an in-house CFO.

About Encompass Solutions

Encompass Solutions is a business and software consulting firm that specializes in ERP systems, EDI, and Managed Services support for Manufacturers. Serving small and medium-sized businesses since 2001, Encompass modernizes operations and automates processes for hundreds of customers across the globe. Whether undertaking full-scale implementation, integration, and renovation of existing systems, Encompass provides a specialized approach to every client’s needs. By identifying customer requirements and addressing them with the right solutions, we ensure our clients are equipped to match the pace of Industry.

Manufacturers are quite familiar with feeling the squeeze of constrained talent pools. This can be said for just about every department of a business. When it comes to ERP staff, qualified individuals can be tough to come by even in healthy job markets. This becomes even more apparent when seeking ERP staff with backgrounds that align with the unique needs of manufacturing businesses. Remote Staff Augmentation, also known as Virtual Staff Augmentation, for manufacturers is one answer to the problem of finding qualified staff to keep your manufacturing business running at peak performance.

Whether you’re working on the road, at home, or onsite, Encompass has the capacity to supplement ERP staff remotely with remote workforce augmentation.

What is Remote Workforce Augmentation?

Remote Workforce Augmentation is the ability to supplement your internal staffing needs with employees, contracted or otherwise, that operate remotely and generally interact with a business by virtual means.

Why use Remote Workforce Augmentation?

There are many reasons why a company would choose to leverage Remote Workforce Augmentation for their ERP needs. This includes everything from simple system checks and reviews to advanced projects and ongoing support.

Some of the most common pain points for manufacturers that lead to leveraging remote workforce augmentation include:

  • Being overburdened with incoming orders or outgoing purchase orders
  • Achieving business goals
  • Running regular reports
  • Adding ERP coverage without bringing on new employees
  • Bridging gaps between office staff and departments

If you are experiencing any of these pain points or have a few that you think may qualify for remote workforce augmentation and IT support, Encompass has the right person for you.

How Encompass Provides Remote Workforce Augmentation

Companies that cannot afford or do not have a need for fulltime ERP staff will want to consider Remote Workforce Augmentation. This arrangement is one where the company will contract their ERP work and support requirements out to a third party, in this case Encompass Solutions, Inc. (ESI).

ESI will provide several levels of support for a business to evaluate when considering remote workforce augmentation, which includes:

  • Supplementing your ERP staff
  • Bridging gaps during personnel turnover
  • Supporting teams with those on Maternity/Paternity leave
  • Quote/Order Entry
  • Job Creation/Closing
  • Purchase Order Entry
  • AR Invoicing
  • Shipping Notifications
  • Manual EDI processing
  • Transitioning back to your team if needed

Depending on your level of requirements, you may choose a basic or more comprehensive offering. Use your procedures – we’ll do the work!

Get started with Encompass Remote Workforce Augmentation

If you are ready to supplement internal operations with ESI staff or would like a review of your internal processes to find the best solution to your needs, we can help you get started.

It all starts with an informal review of your current process, which includes:

  • Order Entry
  • Purchase Order Entry
  • Customer Statements
  • and more

As part of the process, your business will provide Encompass with your procedures and our team will execute this according to your business processes and requirements.

Following that, ESI will document our progress throughout the day, providing regular reports and communications to your team or “next in line” person to make sure you are always kept up to date.

If you are ready to have the conversation around your IT support and remote workforce augmentation needs, contact Encompass today.

So, you just purchased a shiny new ERP, and are looking to roll out EDI.  You want to get started right away on your EDI project, right?   We should be able to set up data and test all transactions out of the box, right? WRONG!

EDI Project Best Practices

EDI is a customized, systemic process, that much like your data, rolls through the quote to cash cycle in a coordinated sequence.  Each EDI document requires data from an upstream process, and you must always complete, and validate,  the upstream processes first.    A common mistake we see on many EDI projects, is an expectation that EDI is plug and play, and that we can implement all documents simultaneously.  EDI is not plug and play, for the same reason that ERP implementations are not plug and play.

EDI trading partners are notorious for sending through erroneous or uniquely specific data.    Our customers all have different shipping and packaging scenarios.   Many customers have different expectations on how EDI data is to be handled.    The answer to a successful EDI implementation, is to work on each document until it is correct, until moving to the next one, and ensuring that the ERP system has been configured and validated for packaging and shipping processes prior to starting to work on outbound transactions.  EDI implementations always lag the ERP implementation by some weeks, and always last the duration of the design and validation stage of the implementation project.

Below are some typical EDI transactions, that must be managed, and processed sequentially.

Inbound Purchase Orders (850i), Demand Forecasts (830i), etc.

Many times, Trading Partners will send data that does not have a native home in ERP.  Our EDI team must carefully inspect all the inbound PO documents from all your trading partners, and understand for each file, which will be unique, whether there is a native home in Epicor, and if not, we create one for it, and make it visible in the ERP through customization.  This can take time, and for some trading partners, extensive customer part cross references must be built, so that Epicor ERP can understand what it is in fact that this customer is ordering.

Outbound Sales Acknowledgement (855o)

It is common to need to include custom trading partner data in an 855 outbound.  Until all of the inbound maps have been translated, and the data housed in Epicor, we can not start testing 855o.   This is normally not a difficult transaction, but until we have every inbound document defined and custom schema in place to accommodate your trading partners, we can not design the outbound format for this document for testing.

Outbound Packing Slip (856o)

Most customers expect us to be able to start this right away.  Some customers have even demanded that we start this right away.  The trouble is that everyone ships differently, and some people have multiple levels of packaging, at various points in their production process, that change how we build the dataset for the 850o.    Another common mistake our customers make are asking for the packing labels before the ASN is designed.

The shipping and packaging process must ALWAYS be designed first, and approved, before we start building 856o data and labels.  Typically the label would be the last thing we build, as we process through all the 850i for all trading partners, demonstrate all packaging scenarios for each, and then finally, armed with model data, we can construct the outbound ASN dataset and labels.  This is especially important when you have multiple versions of labels for different trading partners, or if you have Master Pallets, Mixed Pallets etc.    All EDI projects I have seen go over budget, or that have been frustrated, have been those where the company insists on having working outbound ASN’s before the shipping process is validated.

Outbound Invoices (810)

Typically the easiest of all, but these can not be started until a validated ASN document has been produced.  As such, we save these until the end of the project, to ensure all the data necessary on the invoice, whether from custom inbound data from the 850o, or custom packaging data from the 856o, are available.   Shipments in the system are required to invoice, so there needs to be a solid, unchanging process to generate multiple shipments for the inbound orders, such that they can be invoiced.  This data is typically not available until the last quarter of the implementation.

Listening to your expert EDI implementation consultant, understanding that EDI will slightly lag the work being done in ERP, and that the work will stretch the duration of the project, are key to a successful EDI implementation.  Following our process and methodology  and will minimize frustrations if expectations were that EDI would be ready day one, and reduce or eliminate rework for any EDI transactions forced through before the system is validated.

If you are having a difficult implementation and would like to talk to Encompass about how to put things back on track, we would be happy to conduct a mid ERP implementation review.   If you are about to start an EDI implementation, understanding the above before starting, and ensuring that the project manager and steering committee understand the timeline, will be critical to meeting expectations, and ultimately having a successful, error free cutover.

Now that she’s been with the company for the better part of a year, we asked Vee for her thoughts on her experience at Encompass. Here’s what she had to say.

First Impressions

From the moment I stepped into Encompass to interview for the Documentation Specialist position on January 28, 2020 until now, I’ve been exceptionally pleased.

I wasn’t sure what to expect when I walked in, especially since I was about to be interviewed by a Managing Partner. I knew that I had to shake off my nerves and be the only person I knew how to be… me.

Upon arrival, I initially spoke with a lady who ended up sitting with me on the couch to chat. She learned a little more about me and not only what I can do for the company.

Many questions can be answered simply by engaging and not going straight for the jugular. Being grilled with those cookie cutter questions in the past made me wonder if I was a Miss America contestant or a key suspect in a criminal case who was subpoenaed for court. After getting acquainted for a bit, it was time for my interview.

Another engaging conversation… I was still a little nervous, but at ease. It was finally refreshing to have dialogue that showcased my personality and talents to determine if both were suitable within the Encompass environment. I was introduced to my future co-workers. First impression? Friendly and genuine.

The managing partners have an open-door policy. Doesn’t that sound familiar? The difference here is that you’re heard. They listen to understand before responding, instead of listening solely to respond. If there are any concerns, work-related or personal, they’re addressed and not left floating in limbo.

Part of the Team

Regardless of our individual specialties, we work as a team. We’re there if our clients are in a pinch, needing immediate assistance on projects that require ‘all hands on deck’. Prepare a quick training to get us up to speed to comprehend your needs and we’ll keep the ball rolling until it’s time for it to stop.

This is the truest definition of a team that I’ve ever been a part of in my corporate career of 22 years. Solid foundations are built upon communication and trust, which leads to long-lasting relationships.

Today marks a special occasion. Today, Encompass Solutions, Inc. celebrates its 20th anniversary delivering an array of services to small and medium-sized businesses in manufacturing industries. While it may not be sensible for us to come together and celebrate at this time, we feel it’s important to mark the occasion and thank our staff, partners, and customers for their contribution to making this day possible. In the meantime, we’ll settle for a slightly self-serving new logo:

An image of the Encompass Solutions 20th anniversary logo

The consulting life is unique in that it demands many of us spend time away from our families for extended periods or work long hours to ensure projects are completed on time and within specifications. It’s not easy, but the rewards are great when seeing the efforts result in success for clients and growth for our team members.

Encompass Solutions opened its doors in 2001, driven by a handful of veteran consultants. Since then, we have grown to include more than 25 full time employees and dozens more specialist contractors skilled in business management, process improvement, ERP software, EDI, and managed services. To date, we have helped transform more than 750 small and medium-sized businesses. We look forward to serving the needs of many more over the next 20 years.

A Few Words From Our Leadership

The time has flown by. I had no idea when we started Encompass that we would still be here 20 years later, nor would I be able to envision how much we have developed.

I must acknowledge that we wouldn’t be where we are without the many wonderful employees we’ve had over the years (those that are still with us and those that were here for a season) and the loyalty of our customers.

It is inspiring to see all the ways so many of our customers touch our communities.  It is also amazing to watch our team evolve over the years –even with the changes, they have supported each other to build enduring relationships and friendships.

  • Sonia Haslam, Managing Partner

As someone who deals more with behind-the-scenes operations, I want to commend our staff and customers for helping to build Encompass into the company that it is today.

Every day, I see the projects and relationships we share progress and deliver the results we expect. Our reputation among vendors, peers, and partners remains in high regard because of their direct contributions to our mission. Thank you to everyone who has built this company into the shining example we continually strive for it to be.

In an effort to address the increasing call for our services and the remote requirements businesses currently need to adopt, we’ve expanded our emphasis on remote consulting and implementation services. This slower time could be an opportunity, while people have the bandwidth, to prepare to scale up for future growth.

You can tailor these combined training seminars and implementation services to topics specific to projects currently underway or planned in your organization. The benefit of combining these two services remotely results in better use of your time and money.

We are also discounting consulting blocks to make these services more easily available to businesses.

ESI Discounted Consulting Blocks

Adapting to constrained means of producing and delivering your products and services doesn’t have to impact business continuity. To ensure your organization suffers minimal disruption of day-to-day operations, we want you to be able to take advantage of our experience at a much lower cost to your business.

There are few scenarios where only one or two hours of consulting work may be needed in training or implementing new systems and components. That said, Encompass Solutions will discount consulting hours by a significant amount.

You can choose to make these seminars group sessions, where the audience sits in on actual project work being done in real-time. Alternatively, you may opt for these sessions to be 1-on-1 consulting engagements or as purely discounted work based on your project specifications. Remain operational and profitable, while your staff are able to participate in on-the-job training as the work is being completed by our implementation specialists and consultants.

Sample Workshops And Initiatives

We’ve listed several of our more popular projects to give an idea of how these discounted consulting hours can be used to benefit your business. Packages to guide you through value-added tasks while operations are slow or idled include:

Physical Inventory and Cycle Counting

If a factory is idle, this is a great time to perform a full physical while inventory is not moving.  With accurate inventory, once business picks up, you can be sure you can effectively use MRP and purchase suggestions with trusted output, and make better inventory decisions.

Once you have your inventory trued up, cycle counts, when used properly, will let you keep your inventory accuracy high and remove the need for a year-end full physical inventory.

Typically we can remotely assist a client that has no prior knowledge of performing a Physical Inventory with a couple of hours training, a hands-on workshop, and some remote support during the physical inventory itself.

Discounted Cost: $1,200 – includes seminar, training, set-up and follow-up questions

Preventative Maintenance

Epicor sells the Maintenance Management module to manage the maintenance department and its requests. The module also provides the framework for setting up preventative maintenance schedules, as well as planning and creating maintenance jobs.

With a factory idled, it’s a great time to schedule maintenance and set up this module for maintaining machinery, define maintenance plans by machine so that after a certain number of hours it can be flagged for maintenance, and be able to design and test so that when the plant is at full operational capacity, maintenance basically runs itself.

Discounted Cost: $600 – includes seminar, training, set-up and follow-up questions

Fixed Assets

Many companies own this module, but its typically brought online after an initial implementation project as a Phase 2 component.  The Fixed Assets module let you track your fixed assets and set deprecation schedules, that integrate automatically to the general ledger, reducing the need for manual depreciation calculations at the end of your financial year.  It’s also integrated with the Maintenance Management module to align with the same equipment – setting up for one module will ease the implementation of the other.

Using downtime to set up and automate the handling of depreciation now, will mean one less task to be performed at the end of every financial year.

Discounted Cost: $300 – includes seminar, training, set-up and follow-up questions

Costing

Many of our customers have questions about how Epicor handles job costing. This can be a complex area. Every company will have a costing model that works best for them – standard costing, average costing, FIFO, Last Cost are all different costing methods supported by Epicor ERP, and choosing the correct costing model has big implications as to how costing is reported to the general ledger.

Having accurate costing will also highlight or red-flag materials (both raw materials and finished goods) that need to be focused on to improve and maintain profitability. This targeted consulting event would be specific to your organization and would be comprised of a training component, recommendations from us based on conversations with your business, and support in setting this up in your environment.

Discounted Cost: $2,400 – includes T account explanation and costing model comparison, discovery and design, system configuration, testing and rollout.

Project Management Module

The Project Management module lets you tie all the activity for a project, and get an overview of all the costs involved.   This is especially good for long term projects, allowing you to track sales expenses, orders, engineering design time, purchasing and manufacturing costs, and provide a full overview of the entire project from beginning to end.   Being able to tie all this information together automatically is a huge timesaver, you no longer have to write custom reports, or manually pull information together.  For many customers, especially those selling to government agencies, for example, being able to set milestone billing,  or providing a percentage of completion billing that would other be a very manual and cumbersome process.   Epicor’s Project Management module also provides for revenue recognition, both at the phase, and project level.  It also fully integrates with the general ledger within Epicor ERP.

Discounted Cost: $3,600 to $4,800 (depending on requirements) – includes T account explanation and costing model comparison, discovery and design, system configuration, testing and rollout. Note: Typical consulting time around a Project Management engagement takes 2-3 days, depending on the customer requirements

Case Management

This is a Customer support tool, that many people have licensed, and are not leveraging.  Case Management allows an organization to use a case as a ‘binder’ to track customer issues, and tie together the relevant quotes,  sales orders, jobs, materials, RMA processing and solutions together for a holistic view of the customer’s resolution – it’s particularly useful in the quality area.  Use of Case Management allows your organization to build up a knowledge base, to be referred to should another customer have a similar issue in the future.  With this module you can track KPI’s, like time to resolution, and SLA commitments.    Epicor’s Task Management system can also be leveraged here.

Discounted Cost: $300 – includes training and follow-up questions

Task Management

Many people have access to Epicor’s Task Management system.  Task Sets are embedded into Epicors Quotation, Engineering, Case Management modules. Having a structured set of tasks within a case, quote or engineering workflow, aids in ensuring that your team adheres to your companies best-practice standard procedures, and ensures compliance.

Discounted Cost: $300 – includes training and follow-up questions

Enhanced Quality Module

Epicor’s Enhanced Quality module builds on the foundations of the standard quality module, allowing you to design and configure inspection plans that tie to your organizations quality needs using out of the box software.    This is often used to ensure correct equipment calibration, in conjunction with the Maintenance module.

Discounted Cost: $1,200 – includes training and workshop to design a simple ‘first quality configurator’. Note: Typical consulting time around an advanced quality engagement could be several days depending on the complexity of the configurations and different product lines involved.

Discounted Consulting Terms and Conditions

We don’t want to introduce a menagerie of needless rules regarding these discounts, but we also need to be respectful of our consultants’ livelihood and schedule. To be eligible for discounted consulting hours, one must:

  1. Make your purchase of consulting hours by the end of April 2020.
  2. Bulk packages must be paid for upfront.
  3. Hours must be used by the end of 2020.
